Writing a Pitch That Gets Replies: Templates for Irish Freelancers

Why Most Pitches Fail

The average decision-maker in an Irish SME receives dozens of unsolicited approaches per month. The ones that get ignored are generic, long, and focused on the sender. The ones that get replies are specific, short, and focused on the client's situation.

The Universal Pitch Structure

Every effective outreach message follows this pattern regardless of service type:

  1. Specific observation about their business (shows you did your homework)
  2. Who you are in one sentence
  3. One result you've delivered for a similar business
  4. One specific suggestion for them
  5. Soft ask — a 15-minute call, not a commitment

Template 1 — Social Media Management

Subject: Your Instagram — quick thought

Hi [Name], I noticed [Business]'s Instagram hasn't been updated since [month] — with summer season coming up that's a missed opportunity for local footfall. I'm a freelance social media manager based in [city] and I helped [similar local business] grow their following from 400 to 2,200 in 3 months with consistent content. I have one slot available for a new client — would a 15-minute call this week make sense? [Your name]

Template 2 — Copywriting / Web Content

Subject: [Company] website — one thing I'd change

Hi [Name], I came across [Company] while looking into [industry] in [county] and spent a few minutes on your site. Your services page doesn't clearly explain what makes you different from [competitor type] — which I think is costing you enquiries. I'm a freelance copywriter who's worked with [type of business] across Ireland. I could rewrite your services page on a small fixed-fee basis. Worth a quick call to discuss? [Your name]

Template 3 — Web Development / Design

Subject: [Business name] — mobile experience

Hi [Name], I checked [Business]'s site on mobile and noticed [specific issue — slow load, text hard to read, booking form not working]. I'm a freelance web developer in [city] and I recently fixed similar issues for [type of client]. Happy to do a free 10-minute audit of your site and explain what I'd prioritise. Interested? [Your name]

Template 4 — Dog Walking / Services (Local)

Hi [Name from local group], I've just started offering dog walking and drop-in visits in [area]. I'm [your name], fully insured, Garda-vetted, and have 10+ years' experience with dogs. Currently available mornings and weekdays. DM me if you'd like availability — happy to do a free meet-and-greet. [Your name]

Follow-Up Template

Subject: Re: [original subject]

Hi [Name], just following up on my note from [date]. No worries if the timing isn't right — happy to reconnect whenever suits. [Your name]

How many outreach messages should I send per day?

10 targeted, personalised messages per day will typically generate 1–2 replies per week. Volume matters, but personalisation matters more — 10 good messages beats 100 generic ones.

Should I pitch by email or LinkedIn?

LinkedIn connection requests with a note get higher reply rates for B2B services. Email is better for targeting specific businesses where you've found the decision-maker's address (often on the website).

These templates are starting points — always personalise for each recipient. Never use them verbatim across multiple targets.
